Please read the below information that describes the procedure to be followed to have Events and Risk assessed by the District Insurance Officer (DIO) to obtain a Certificate of Currency (CoC)

Risk Management and Insurance for Rotary organised events is a very important matter and becomes more so every year.
The obligation to mitigate risk and protect all members and participants is paramount in everything we do.
 
We need to be totally clear that for every event an Insurance Pro Forma form is required to be sent to the DIO Dallas Booth so he can assess the risk.
An Event is not defined as a regular club or board meeting.
However it may be that the venue requires to sight a CoC and in that instance an email to the DIO stating the request by the venue is sufficient.
 
Events that have involvement of;  the public, participants, stallholders, alcohol, youth, amusement rides and the like, an Insurance Pro Forma is required as a first step.
 
From the data in Insurance Pro Forma the DIO completes a Basic Checklist for an Event form and essentially determines the level of risk.
From the information supplied, the DIO will decide if a Certificate of Currency can be issued.

If more information is required to assess the event and risk, the DIO will ask for an additional form which is a combined Risk Management Form and Risk Management Checklist
The Risk Management Form is self-explanatory and the Risk Management Checklist details multiple items that need to be considered by the organisers and comments noted as to how this risk will be mitigated.
 
If the DIO is still concerned, this form Risk Management Form and Risk Management Checklist will be sent to Aon Insurance Brokers for them to assess and advise and if necessary require additional cover.
